Registration for the 2024-2025 Regular Rugby Season is NOW CLOSED.

Register for the 2025 Summer Sevens!

This registration session will allow you to complete contact information, sign up for participation and submit payment for the Regular Rugby Season.

REGISTRATION PROCESS

Before starting a registration session, please have the following on hand:

Your player's REAL/LEGAL name!  When entering the player's information, please be sure to use the name which is on their legal document(s) (birth certificate, passport, etc.) as this is the only way to be verified to play by Rugby NorCal and USA Rugby.  

***Failure to follow this instruction may result in your child being ineligible to play in matches. ***

Emergency contact information/Medical Information- You will need your medical policy information.  We request updated emergency contact information as well as updated medical information each year.  This information is needed in the event that emergency treatment is necessary.

Form of payment- Credit Card, Debit Card or Bank Account You will have the option to pay in full or participate in a payment plan.  The payment plan consists of 1 payment at the time of registration and 2 more due on November 1st and December 1st.  The later you register, the greater your initial payment will be.  After December 1st, payment plan is no longer available.

All players must register in Rugby Xplorer after registering on SportsEngine!

Note that during check out you will be charged a Sports Engine processing fee.

Financial Aid

The Danville Oaks seek to ensure that all young people interested in rugby have the opportunity to participate, so we offer financial aid to reduce registration fees to minimum. We try to help those with the greatest need—based on household income—but we recognize that special circumstances can make things hard for those with higher incomes. 

To qualify, families must first complete the financial aid application on the website and provide supporting documents.  Do not proceed with this registration yet if you are applying for financial aid. Please be as clear and thorough on the application as possible. All information you provide is confidential and reviewed only by our board’s Scholarship Committee.

Once approved, a discount code will be sent through email which will be entered in this registration at checkout. 

HOW TO APPLY FOR FINANCIAL AID

Minimum Requirements:  

- Player must have and maintain a minimum ‘C’ (2.0) average in school.

- Player must not have been in trouble with the law, school entities or any public organization within the last 12 months. 

APPLICATION PROCESS

- Fill out the Financial Aid Form found in FA Page in the Oaks website. 

- Meet the minimum application requirements.  

- Athlete/Parent must commit to the same level of volunteer requirements consistent with Club policies.

PLEASE NOTE

Volunteer Participation Deposit:

A player must provide a $350 (or $500 for 2 or more players) Refundable Volunteer Participation Deposit to the Oaks Rugby Club.  This will now be collected at the time of registration. This amount will be refunded at the end of the season after the Club confirms that all the volunteer hours have been satisfied through tracking on the Oaks Dib System.  

If you wish to be exempted to this due to financial situation, please fill out the Financial Aid Form in the website and wait for the Discount Code to be sent through email once approved. 

Players who have not provided a Volunteer Deposit will not be able to play in any league games until that deposit has been made.

Danville Oaks coaches, BOD members, and committee members are exempt from the volunteer deposit by using a personalized discount code at checkout. If you qualify and haven’t received your code yet, please email volunteer@danvillerugby.com before continuing.  

Family Discount:  

If you are registering more than one player in your family, you will receive a $50 discount for the second (and subsequent) child's registration fee.  In order for the registration system to recognize that your family is registering multiple players, please register all of your players in the same registration session.  On the Review Page, click the link near the bottom to "Register Another Player" to ensure that all of your family's players are registered during the same registration session.

COACHES - BEFORE REGISTERING

As part of the effort to continuously improve the quality of the coaching provided, the Oaks believe that continuous coaching development and education is imperative.  When joining the coaching staff, coaches are required to become certified with USA Rugby and register with the Oaks.  This process includes background checks and training on important safety topics including concussion training and "Creating a Safe and Respectful Environment" in addition to Level 100 and Level 200 certification. 

Each year, our coaches are required to attend ongoing education to maintain their active certification with USA Rugby and to maintain their knowledge of the game.  In addition to this required training, the Oaks are continuously investing in ongoing coaching education.

2024/2025 Coaching Application:

The first step for all head coaches and new assistant coach candidates is to complete a short online coaching application. Those interested can find the application and additional details on the "Become a Coach" page of the Oaks web site using the link HERE.

We will welcome applications for assistant coaches after that time as we realize new families join the program each year and may have interest in coaching.

COACHES, REFEREES AND CLUB ADMINISTRATORS - REGISTRATION

All Oaks Coaches and Referees and BOD Members/Club Administrators (access to Rugby NorCal’s Competition Management System) need to register with BOTH USA Rugby and the Danville Oaks.

Register with USA Rugby:

Register or renew your USA Rugby membership through the Rugby Xplorer Site.

You may register for more than one role in the Club. 

Also, please note that the Oaks has 4 sub groups:  Oaks HS Boys RFC, Oaks HS Girls RFC, Oaks Youth RFC, and Oaks Rookie Rugby (non contact programs).  You may register for one or more roles in each of the age groups.

More specifically, if you are involved with U8 or Try On Rugby; please register as a Coach, Referee and/or Admin for "Oaks Rookie Rugby".  U10, U12, MS Boys or MS Girls is designated as "Oaks Youth RFC".  Finally, Oaks Boys or Girls High School programs are "Oaks HS Boys RFC" and/or "Oaks HS Girls RFC", respectively.

You will be reimbursed for the USAR registration fees if you desire. Please submit the reimbursement form and a copy of your registration confirmation to reimbursement@danvillerugby.com. 

Register with the Oaks:

Once you have completed your USA Rugby registration, ensure that your membership requirements are complete and you are in “good standing” and “active”.  For Coaches and Referees to be in good standing, you must complete all certification requirements.  There may be new certification requirements even if you have been certified previously.  In addition, coaches must complete ten units of Professional development each year.  Registration for Referee and Coach certification and development courses must be completed by each individual through the USA Rugby Registration site, and cannot be completed until the current year membership has been renewed and paid.

If your USA Rugby membership is “In Progress”, your background check, Certification and/or Professional Development may not be complete. 

After you have completed your Rugby X registration, you must register with the Oaks.  In order to comply with state law, registration is required in BOTH systems.

Oaks Chairs  and Committee members whom are not registered (CIPPd) with USA Rugby need to complete 2 items:

Register with the Oaks for the 2024-2025 Regular Season as a “Board Member/Administrator” in this registration session.

Oaks Registration Fees

THE FEES LISTED BELOW will INCREASE BY $50 FOR returning YOUTH PLAYERS after DECEMBER 1, 2024, AND FOR returning MS AND HS PLAYERS ON JANUARY 1, 2025.

Player Evaluation and Placement

At Oaks Rugby, we prioritize both safety and skill development. Before being rostered for competitive matches or travel, all players must demonstrate proficiency in core rugby skills. Players who need additional time to develop these skills will participate in Academy-style weekend practices. Once they pass the skills assessment, they will be eligible for game rosters.

Oaks Rugby Football Association reserves the right to refuse membership to our organization for any reason.
